Resume and Bio-Data Format for Government and PSU Jobs in India

For most Indian government jobs you don't need a resume at all, because recruitment through bodies like UPSC, SSC, IBPS, the Railway Recruitment Boards and state public service commissions happens through online application forms. You need a resume or bio-data mainly for contractual, consultant, project-based, deputation and some PSU or autonomous-body posts, and in those cases the official notification usually prescribes the exact format. The golden rule is simple: read the notification, use the format it gives and fill it in accurately; this guide shows how to do that well, and what to do when no format is given.

Do you need a resume for a government job?

It depends on how the post is being filled. Before preparing anything, work out which of these situations applies to you.

Rule one: follow the official notification exactly

Government recruitment is rule-bound. Applications are checked against the eligibility conditions in the notification, and many notifications state that incomplete applications, or those not in the prescribed format, may be rejected.

  1. Download the full notification (not just a news summary) from the organisation's official website, and read the eligibility, application and documents sections carefully.
  2. Look for a prescribed format. It is often attached at the end as an annexure, proforma or application form.
  3. Fill in the format in the same order, with the same headings and columns. Don't delete columns; if something doesn't apply, write 'Not applicable' unless the notification says otherwise.
  4. Match every detail, including name, date of birth, marks and dates of employment, to your certificates exactly.
  5. Attach only the documents asked for, self-attested if required, in the order listed.
  6. Sign and date where indicated, and submit by the method and deadline given: online portal, email or post.

If the notification doesn't say how to handle something, such as converting CGPA to percentage, check the FAQs and any corrigendum on the official website, or contact the recruiting office using the details in the notification. Don't guess.

What a government bio-data format usually asks for

Formats vary by organisation, but many prescribed bio-data or CV proformas ask for similar information. Unlike a private-sector resume, personal details are expected here, because they decide eligibility for things like age limits, reservation and nationality.

  • Post applied for, and the advertisement number and date
  • Full name exactly as it appears in your certificates, father's or mother's name, and sometimes spouse's name
  • Date of birth and age as on the cut-off date mentioned in the notification
  • Category (such as SC, ST, OBC, EWS or PwBD) where applicable, with certificate details
  • Nationality, gender, and correspondence and permanent addresses
  • Educational and professional qualifications with board or university, year, subjects and marks
  • Employment history with exact dates, designation, employer, pay or pay level, and nature of duties
  • A column showing how you meet the essential and desirable qualifications
  • Additional information such as publications, training, awards or languages
  • A declaration with place, date and signature, sometimes with a passport-size photograph

How to fill in education and marks

Education is where many applications trip up because of small mismatches. Present it as a simple table if the format allows, and copy the details from your marksheets rather than from memory.

  • If your university awards CGPA and the form asks for a percentage, use the conversion method prescribed in the notification or by your university, and keep proof of that method ready.
  • Write the year of passing as shown on your final marksheet or degree certificate.
  • Check whether the notification has a cut-off date by which you must hold the qualification.
  • Don't round marks up. 64.6% is 64.6%, not 65%, unless the notification explicitly allows rounding.

How to present work experience

For posts that require experience, the selection committee checks whether yours meets the essential qualification, so be precise and verifiable.

  • List jobs with exact dates (for example 01/07/2022 to 31/03/2025) and calculate total experience as on the cut-off date.
  • Give the designation, organisation, whether the post was regular, contractual or temporary, and pay or pay level if the format asks.
  • Describe duties using the language of the notification. If it asks for experience in preparing DPRs for road projects, say that you prepared DPRs for road projects, and name them.
  • Keep experience certificates, appointment letters and relieving letters ready. Experience you can't document may not be counted.
  • If the notification counts only experience gained after acquiring the essential qualification, calculate it that way.

When no format is given: a clean government-style resume

Some posts, walk-in interviews and government-linked institutions simply ask for a 'detailed CV' or 'resume'. In that case, use a clear, formal layout that makes your eligibility easy to check: a simple one-column document in a standard font, printed on A4, typically 1–3 pages.

  5. Work experience in reverse chronological order with exact dates and duties
  6. Skills relevant to the post, such as software, languages or technical tools
  7. Publications, training programmes and awards, if relevant
  8. References, if asked

Public sector undertakings recruit in different ways. Several PSUs shortlist engineering graduates using GATE scores through their own online applications, while experienced or lateral hires may apply through a careers portal that accepts a resume upload. Checklist before you submit

  • You used the prescribed format (if any), with every column filled in or marked 'Not applicable'.
  • Your name, date of birth and marks match your certificates exactly, including spelling and initials.
  • Experience dates are exact, and total experience is calculated as on the cut-off date.
  • Category and other certificates are in the format the notification asks for and valid as required.
  • Your photograph and signature meet the size, format and background rules for online uploads.
