A biodata for a job is a one- or two-page document that lists your personal details, contact information, educational qualifications, work experience, skills and languages, and ends with a signed declaration. In India it is still asked for by some government, PSU and clerical recruitments, local private employers and small firms, while most private companies expect a resume instead. What is a biodata for a job?
Biodata is short for biographical data. A job biodata is a factual, form-like document: who you are, how to contact you, what you studied and where you have worked. Unlike a resume, it isn't written to sell your achievements; it records your details in a fixed order that an office can check quickly.
You are most likely to be asked for a job biodata in these situations:
- Contractual, project, walk-in or temporary posts in government departments, PSUs and local bodies, when the notification asks for a 'bio-data'
- Clerical, office assistant, data entry, accounts assistant, peon, driver and similar posts with local employers
- Schools, coaching centres, hospitals, shops, factories and small family-run firms
- Security agencies, manpower and placement agencies that keep a file of candidates
- Any application form that says 'attach your bio-data'

If a government or PSU notification gives its own bio-data proforma, fill in that exact format. Don't replace it with this one or with your own design.
Biodata format for job: all the fields, in order
Write 'BIODATA' as the heading, then fill in these fields in this order. Leave out any field marked optional unless the employer asks for it.
- Photograph: a recent passport-size photo in the top-right corner, with a plain background and formal clothes.
- Name: your full name as it appears on your marksheets and ID.
- Father's name and, if asked, mother's name. Married women may be asked for husband's name in some formats.
- Date of birth: in DD/MM/YYYY format, for example 14/03/2003.
- Gender.
- Marital status: unmarried or married.
- Nationality: Indian.
- Religion and category (General/OBC/SC/ST/EWS): optional. Add them only if the form or notification asks, for example for reserved posts.
- Address: permanent address, and correspondence address if it's different, with PIN code.
- Mobile number and email address: use a professional email such as firstname.lastname@gmail.com.
- Languages known: for example Hindi (read, write, speak), English (read, write, speak).
- Educational qualifications: a table with examination, board or university, year of passing and percentage or CGPA, latest first.
- Other qualifications: computer courses (such as CCC, DCA, Tally), typing speed, driving licence, certificates.
- Work experience: organisation, post, period and main duties, latest first. Freshers can write 'Fresher' or list internships and training.
- Skills: 4–8 job-related skills.
- Hobbies: optional, 2–3 items.
- Declaration: a line confirming that the information is true, followed by place, date and your signature with name.
How to write the educational qualification table
The education table is the most-checked part of a job biodata. Write the exact name of each examination and board or university as on your marksheet, and the same percentage or CGPA you will show in documents.

- List the highest qualification first.
- If a result is awaited, write 'Appearing' or 'Result awaited' instead of a percentage.
- Keep percentages and CGPA exactly as on your marksheet; don't round up.

Tips for a clean, safe job biodata
- Keep it to one or two pages. A biodata is a summary, not a file of certificates.
- Match your documents. Name spellings, date of birth and marks must match your certificates exactly, because offices check them during verification.
- Use a simple, typed layout. Word is easiest to edit; send a PDF unless the employer asks for Word. If you fill it by hand, write clearly in blue or black ink.
- Sign it. Sign above your name after the declaration, and write the place and date.
- Name the file clearly, for example Ankit_Verma_Biodata.pdf.
- Attach only what's asked. Send copies of certificates only when the employer or notification requests them.
Never write your Aadhaar, PAN, bank account or passport number on a biodata unless the form specifically requires it. A biodata passes through many hands, and these numbers can be misused. Share ID copies only at the document-verification stage, with the organisation that is hiring you.
When to send a resume instead
For private companies, startups, MNCs, Naukri and LinkedIn applications and campus placements, a resume works better than a biodata. It drops personal details and uses the space to show your skills, projects and results for the job you want.

What is the correct biodata format for a job?
A job biodata starts with the heading 'BIODATA' and a passport-size photo, followed by your name, father's name, date of birth, gender, marital status, nationality, address, mobile number, email and languages known. Then come an education table, other qualifications, work experience, skills and hobbies. It ends with a declaration, place, date and your signature. If the employer gives a format, use theirs instead.
Is a biodata the same as a resume?
No. A biodata records personal details, education and experience in a fixed, form-like order, and is used for some government, clerical and local jobs. A resume is a shorter, job-focused document that highlights skills and achievements, and is what private companies expect. Send a biodata only when it is asked for; otherwise send a resume.
Should I mention religion or caste in a biodata for a job?
Only if the form or notification asks for it, which usually happens when reserved posts are involved and you need to state a category such as SC, ST, OBC or EWS. Most private employers don't need religion or caste at all, so leave these out by default. When the category matters, also keep a valid certificate ready for document verification.
Should I add a photo to my job biodata?
Yes, a job biodata usually includes a recent passport-size colour photo in the top-right corner, with a plain light background and formal clothes. If the employer or notification specifies a photo size or format, follow it exactly. A resume for a private company, on the other hand, usually doesn't need a photo unless the employer asks for one.
